Zoom Direct Media respects your privacy. This policy explains what personal information we collect, why we collect it, who we share it with, and how you can access or correct it.
We handle personal information in accordance with the Australian Privacy Principles in the Privacy Act 1988 (Cth), and we apply those standards to our handling of your information regardless of whether we are strictly required to.
1. Who we are
Zoom Direct Media is a sole trader business operated by Camelia Vasile.
- ABN: 13 536 702 903
- Email: admin@zoomdirectmedia.com.au
- Website: zoomdirectmedia.com.au
2. What this policy covers
This policy covers personal information we collect through zoomdirectmedia.com.au, our forms, our booking system, our email list and our dealings with clients and prospective clients.
It does not cover our clients’ own data. Where we work inside a client’s systems — their website, CRM, advertising accounts or email platform — the client remains responsible for that data and for their own privacy obligations to the people in it. We access it only on their instruction, we don’t take copies of their customer databases, and we don’t use their contacts for our own marketing. Those individuals should refer to the relevant client’s own privacy policy.
3. What personal information we collect
Depending on how you interact with us, we may collect:
Contact and identity information — your name, email address, phone number, business name, position, and the website or social accounts you tell us about.
Enquiry and booking information — what you tell us about your business, your goals, your budget, your current marketing, and anything else you include in a form, booking or email.
Transaction information — what you purchased, when, the amount, and the invoice or receipt. We do not collect or store your full credit card or bank account details. Payments are processed by our payment provider, who handles that information under their own security standards.
Communication records — emails, messages, form submissions, and notes from calls and meetings.
Technical and usage information — your IP address, browser type and version, device type, operating system, the pages you visited, how long you stayed, what you clicked, and the website or advertisement that referred you.
Marketing engagement information — whether you opened our emails, which links you clicked, and how you’ve interacted with our content.
We don’t deliberately collect sensitive information (such as health, racial or ethnic origin, political opinions, religious beliefs or sexual orientation), and we ask you not to send it to us.
4. How we collect it
Directly from you — when you fill in a form, book an appointment, subscribe to our list, email or call us, buy something, or engage us for work.
Automatically — through cookies and similar technologies when you visit our website. See section 7.
From third parties — occasionally from publicly available sources (such as a business website or LinkedIn profile) when researching a prospective client, from referrals, or from advertising and analytics platforms in aggregated form.
If you give us someone else’s personal information — a colleague’s details, for instance — please make sure they’re comfortable with that.
5. Why we collect and use it
We use personal information to:
- Respond to your enquiry and provide information you’ve asked for
- Schedule, confirm and remind you about appointments
- Prepare proposals and quotes
- Deliver the services or products you’ve purchased
- Process payments and issue invoices and receipts
- Communicate with you about your project
- Send marketing emails, where you’ve consented or where you’re an existing client and it’s related to what we do
- Improve our website, our services and our marketing
- Understand which marketing channels are working
- Meet our legal, tax and record-keeping obligations
- Resolve disputes and enforce our terms
If we want to use your information for a purpose not described here, we’ll ask you first unless the law permits otherwise.
6. Email marketing
If you subscribe to our list, download a resource or become a client, we may send you marketing emails.
We comply with the Spam Act 2003 (Cth). That means:
- We only send marketing email where you’ve consented, or where consent can reasonably be inferred from an existing business relationship
- We identify ourselves clearly in every message
- Every marketing email includes a working unsubscribe link
- We action unsubscribe requests promptly and permanently
You can unsubscribe at any time using the link in any email, or by emailing us. Unsubscribing from marketing doesn’t stop necessary emails about a project or purchase you’re already engaged in.
7. Cookies and tracking
Our website uses cookies and similar technologies.
Essential cookies keep the site working — security, forms, session management. The site won’t function properly without them.
Analytics cookies help us understand how people use the site, so we can improve it. We use Google Analytics, which collects usage data in a de-identified or pseudonymised form.
Advertising and remarketing cookies let us measure our advertising and show relevant ads to people who’ve visited our site. We may use the Meta (Facebook and Instagram) Pixel, Google Ads tags and similar tools.
Embedded content. Pages containing embedded forms, booking calendars or videos may set cookies from those third-party providers.
Your choices. You can control or block cookies in your browser settings, and most browsers offer a “do not track” setting. Blocking cookies may affect how the site works. You can also opt out of Google Analytics using Google’s browser add-on, and adjust ad personalisation in your Google and Meta account settings.
8. Who we disclose your information to
We don’t sell your personal information, and we don’t disclose it for other organisations to use for their own marketing.
We share it only with service providers who help us run our business, and only as needed. These currently include:
| Purpose | Type of provider |
|---|---|
| Website hosting | Our web host |
| Business email, calendar and file storage | Our email and productivity provider |
| Customer relationship management, forms, booking and marketing automation | Our CRM and automation platform |
| Payment processing | Our payment provider |
| Email delivery | Our email sending provider |
| Analytics and advertising measurement | Our analytics and advertising platforms |
| Accounting and bookkeeping | Our accountant and accounting software |
We may also disclose information:
- Where you’ve asked or agreed to it
- To our professional advisers, where needed
- Where required or authorised by law, or to a court, tribunal or regulator
- To protect our legal rights, or to prevent harm or fraud
- If our business is sold or transferred, as part of that transaction
We require our providers to protect personal information and to use it only for the purpose we engaged them for.
9. Overseas disclosure
Some of our service providers are located outside Australia, or store data on servers outside Australia. This most commonly includes the United States, and may include the European Union and other countries where those providers operate data centres.
This means your personal information may be stored or processed overseas. Where we disclose information to an overseas recipient, we take reasonable steps to ensure it’s handled consistently with the Australian Privacy Principles — including by using reputable providers with published privacy and security commitments and appropriate contractual terms.
By providing your information to us, you acknowledge it may be disclosed to overseas recipients as described. You also acknowledge that we may not be able to ensure an overseas recipient complies with Australian privacy law in every respect, and that you may not be able to seek redress under the Privacy Act in those circumstances.
10. How we keep it secure
We take reasonable steps to protect personal information from misuse, interference, loss, and unauthorised access, modification or disclosure. These include:
- Encrypted connections (HTTPS) across our website
- Strong, unique passwords and two-factor authentication on our accounts
- Limiting access to information to what’s needed
- Reputable providers with their own security controls
- Keeping software and systems up to date
No method of transmission or storage is completely secure. While we work hard to protect your information, we can’t guarantee absolute security.
Data breaches. If a data breach occurs that is likely to result in serious harm, we will respond in line with the Notifiable Data Breaches scheme, including notifying affected individuals and the Office of the Australian Information Commissioner where required.
11. How long we keep it
We keep personal information only as long as we need it for the purposes described in this policy, or as long as the law requires.
- Enquiries that don’t proceed — generally up to [2] years
- Client records — for the engagement and then as required by tax and record-keeping law, generally [7] years
- Marketing subscribers — until you unsubscribe, and then only what’s needed to honour that request
- Technical and analytics data — in line with our analytics providers’ retention settings
When we no longer need information, we take reasonable steps to destroy or de-identify it.
12. Accessing and correcting your information
You can ask us for a copy of the personal information we hold about you, and you can ask us to correct it if it’s wrong, out of date or incomplete.
Email admin@zoomdirectmedia.com.au. We may need to verify your identity. We’ll respond within a reasonable period — usually within 30 days.
There’s no charge for making a request. If a request is complex and involves significant work, we may charge a reasonable cost, and we’ll tell you before doing anything.
If we decline a request, we’ll explain why in writing.
You can also ask us to delete your information. We’ll do so unless we’re required to keep it by law or need it for a legitimate ongoing purpose, in which case we’ll explain.
13. Making a complaint
If you think we’ve mishandled your personal information, please tell us first. Email admin@zoomdirectmedia.com.au with the details and we’ll investigate and respond, usually within 30 days.
If you’re not satisfied with our response, you can contact the Office of the Australian Information Commissioner:
- Website: oaic.gov.au
- Phone: 1300 363 992
14. Children
Our website and services are intended for business owners and are not directed at children. We don’t knowingly collect personal information from anyone under 16. If you believe we have, please contact us and we’ll delete it.
15. Links to other websites
Our website may link to third-party sites. We don’t control them and aren’t responsible for their privacy practices. Please read their own policies.
16. Changes to this policy
We may update this policy from time to time. The current version is always available on our website, with the date it was last updated at the top. If we make a significant change affecting how we handle your information, we’ll take reasonable steps to let you know.
